Membership Terms & Conditions

Thank you for choosing Happy Days Gym Club. These Terms & Conditions help ensure that every child enjoys a safe, fun and positive experience. By accepting a place at the club, you agree to the following.

1. Our Code of Conduct

To provide a safe environment for everyone, we ask all children, parents and visitors to:

Treat all coaches, gymnasts, parents and visitors with kindness and respect.

Follow all instructions given by coaches.

Treat all club equipment with care.

Remove outdoor shoes before stepping onto any matted areas or gymnastics equipment.

Not smoke, vape or consume alcohol or illegal drugs anywhere on the school or venue grounds.

Only eat and drink in the designated outdoor areas where permitted.

Stay out of school playgrounds, climbing equipment, Forest School areas and any other restricted areas before or after classes.

Behave in a respectful, non-aggressive manner at all times.

The club reserves the right to refuse entry or remove anyone whose behaviour is abusive, threatening or unsafe.

2. Parent & Guardian Responsibilities

Parents and guardians are responsible for:

Ensuring their child's class is taking place before leaving them.

Escorting younger children into the venue. Please do not drop children off in the car park unattended.

Supervising all siblings before and after classes.

Informing the club by email if their child has permission to walk home independently.

Informing the club in advance if someone different will be collecting their child.

3. Medical Information & Illness

It is the parent or guardian's responsibility to keep all medical information up to date on their ClassForKids account.

Please also speak to the coach before the session if:

your child's medical information has recently changed

there is anything the coach should know before the class begins.

Inhalers

Children requiring an inhaler must bring it to every class. It should be clearly labelled with their name and handed to the coach at the beginning of the session.

Illness

Please do not bring your child to gymnastics if they:

have been sick or had diarrhoea within the previous 48 hours

have suffered a head injury or concussion within the previous 48 hours, unless medically cleared to return.

The safety of all children is our priority.

4. Class Cancellations

Happy Days Gym Club operates from school premises.

Occasionally classes may need to be cancelled due to circumstances beyond our control, including:

severe weather

school closures

power failures

emergency situations

public health restrictions

any other unforeseen events.

If this happens we will notify families as soon as possible.

Where possible, a replacement class will be offered. This may be:

on another date

at a different time

at another venue

online if appropriate.

As these situations are outside the club's control, refunds are not normally available.

5. Photography & Video

Photographs and videos may occasionally be taken during classes and events for use in:

social media

the club website

promotional material

marketing.

If you do not give permission for your child to appear in photographs or videos, you must update your preference on your ClassForKids account and notify the club by email if this changes.

6. Equality & Inclusion

Happy Days Gym Club welcomes children of all abilities.

Where reasonably possible we will make adjustments to support children with additional needs.

However, due to staffing ratios, we are unable to provide one-to-one support during classes. If your child requires additional assistance, please contact us before booking so we can discuss the best options.

7. Behaviour & Anti-Bullying

We are committed to providing a safe, welcoming and inclusive environment.

Bullying, intimidation, discrimination, aggressive behaviour or persistent disruption will not be tolerated.

If concerns arise:

we will investigate fairly

speak to all parties involved

inform parents where appropriate

agree suitable actions to resolve the situation.

Where behaviour continues despite support and warnings, Happy Days Gym Club reserves the right to remove a child from the club without refund.

8. Payment of Fees

Invoices are sent towards the end of each term for the following term.

To secure your child's place, payment must be received by the payment deadline shown on the invoice.

Payment methods

Debit or Credit Card via ClassForKids (booking fees apply)

Bank Transfer

Cash (in a sealed envelope clearly labelled with your child's name and class)

If you are experiencing financial difficulties, please contact us before the payment deadline. We are happy to discuss payment arrangements wherever possible.

Failure to pay fees may result in your child's place being withdrawn.

9. Missed Classes

As spaces are limited and staffing is arranged in advance:

missed classes cannot normally be transferred or refunded

we are unable to offer make-up sessions for holidays, illness or other absences.

In exceptional circumstances, the club may offer a credit at its discretion.

10. Cancelling Membership

If you wish to leave Happy Days Gym Club, please email:

happydaysgymclub@gmail.com

We require a minimum of three weeks' written notice before the end of the current term. 

If sufficient notice is not received, a charge equivalent to three weeks' fees will apply.

This allows us to offer the space to another child waiting within the club or on our waiting list.

11. Open Week

At the end of each term we hold an Open Week, giving parents the opportunity to watch the final 15-20 minutes of their child's class.

To ensure everyone can enjoy the session safely:

a maximum of two spectators per gymnast may attend

spectators should remain in the designated viewing area

younger siblings should remain supervised at all times.
